Give your patients freedom to fill out forms from anywhere

Last week’s blog titled “How wide open is the back door ofyour practice?” talked about patient
retention and how to track it using the Practice Advisor report. I think it is important to track and monitor your numbers to know the health of your practice, especially your patient retention. You invest a lot into attracting new patients and I would expect the same or more from you to keep your existing ones.

One thing that comes to mind with both new patients and existing patients is the topic of patient forms. Nobody likes to fill out a form these days and the office struggles with the time it takes and scanning paper. Making the task of filling out forms more convenient, easy and faster for both the patient and the practice will help create happy, loyal patients.

Image if your patients could fill out their new patient forms from their mobile phone while they are sitting on their couch watching the MLB All-Star game this week or a patient of record updating his or her health history while sitting on a train during the commute to work. You don’t have to image this. It is reality.

While I was working with a practice recently, the office Wi-Fi was down so we did not have the opportunity to test the new electronic forms from the office website. With no Wi-Fi, every team member got on her mobile phone and filled out the new patient forms from her phone. It was amazing! We had team members ranging in age from 23 to 60 typing in information to submit.


In the newest version of Dentrix, the Questionnaire forms have been redesigned in an HTML format. This gives the patient more accessibility to the forms and gives the office better management of the forms. Time is one of our most precious assets



During this week’s Chicago Midwinter meeting, Dentrix launched the exclusive distribution of Simplifeye. I was in Chicago for the meeting, and I had the opportunity to see it firsthand and talk with the founders, Zach and Ryan Hungate.


This new software technology will streamline the doctor’s daily workflow, instantly notify the clinical team when their patient has arrived and give you more time in your day. The Simplifeye dashboard will also give your front office team the visual notifications when patients are late, the clinical team is running late and when the patient is ready to be checked out.

It's official . . . Care Credit and Dentrix tie the knot

One of the most amazing things happened last week and I have been trying to control my excitement for a while. The number one option in patient financing and the number one option for dental practice management computer systems have finally come together. Yes, CareCredit and Dentrix have tied the knot. It’s official.

Many of you have used the integrated features between Dentrix and CitiHealth Card in the past where you have a specific icon on the patient ledger that you can click on to launch the patient financing application. In the future, I would imagine that CareCredit and Dentrix will come up with a similar type of seamless integration. However, for now, it is still speculation because it is under development and I have been sworn to secrecy.

I am super excited about this partnership because this is probably one of the most asked questions I get … “When will Dentrix be integrated with CareCredit?” My answer has always been, “I hope someday.”

What you need to know if you are already a CitiHealth Card customer . . .
  • Citi Health Card integration with Dentrix will be discontinued on February 21, 2017 and replaced with a new web page that directs customers to the CareCredit provider portal. The URL to the provider portal is www.carecredit.com/pro.
  • If an HSPS practice with a Citi Health Card already accepts CareCredit, no work is required.
  • Citi Health Card practices can go to carecreditlearning.com and use the unique username and password on their new CareCredit card to complete the training and begin accepting CareCredit. This will ensure there is no interruption in their ability to offer promotional financing options.

Bracing for Hurricane Matthew or any natural disaster

As I write this blog for you all today, I am sitting in a hotel in Jacksonville, Fla., because I am working with an amazing periodontal office with their systems, health history updates and overall practice efficiency. Last night, I spoke to their study club members on some practical measures when it comes to protecting their patient records. It is ironic that, as I write this, we are on the verge of Hurricane Matthew hitting the east coast of Florida … so this post becomes so much more important.

It is up to the practice to make sure that their patients’ Protected Health Information (PHI) is kept confidential, the integrity of the record is sound and your patients’ records are accessible. So as I watch the Weather Channel from my hotel room tonight, I wanted to put together some tips you can follow to help you protect your patient’s information.

Notice what I said “some tips you can follow to help you protect your patient’s information.” It is not the job of your software, your hardware or your office design to ensure the protection of your patient’s data. It is up to you to put systems in place.

Since Florida is on the verge of a Category 4 hurricane, I want to point out a few things that could potentially affect the confidentiality, integrity and accessibility of your patient’s protected health information.
  • Power outages are going to be a huge issue with this upcoming storm. If you are going to close the office and want to have access to some of your patients’ information for returning calls, phoning in medications or following up with your patients after some surgeries, I would recommend you using Dentrix Mobile. When you use Dentrix Mobile, you have the opportunity to remote in using a mobile device and having access to some of your patients’ critical information.
  • Make sure an authorized team member has access to the backup of all the patient data in case of flooding or destruction of the practice. The backup of the data might be on an external hard drive or in an online secure backup system. Dentrix has the option of using eBackup to store your patients’ information securely and safely. This would give your practice a good option to access patient data in case of an emergency.
  • Make sure you have your Business Associate Agreements in place with your outside contractors. What if you are working with a consultant, accountant, attorney or computer company who has access to your patients’ information and they are the ones who are affected by the storm which jeopardizes the confidentiality of your patients’ information?



You can never do too much to prepare for a disaster and you have an obligation to protect your patients’ health information. It is not something you want to take lightly. Seeing this storm and looking back on storms in the past makes me realize we should be prepared for anything.

What an amazing marketing tool!




Maybe it’s just that you don’t know what Dentrix Mobile is or you haven’t been taught how to use it.  Over the past few years, I have seen a decline in awareness and use of Dentrix Mobile so I felt it was time to re-post about this useful tool and remind you that it is part of your customer service agreement. 

One of the greatest marketing tasks you can do at your practice is follow up with patients after a surgical or challenging appointment. You can easily log into Dentrix Mobile and see your appointment book and look up patient information to make those important calls. 

I just finished two of the best books on the market right now for the dental practice, Everything is Marketing and Becoming Remarkableby Fred Joyal. One thing that he recommends in his books is for the doctor to call new patients, welcome them to the practice and ask if there is anything he or she should know before their visit tomorrow. What an amazing marketing tool! This can easily be done using your Dentrix Mobile service because you can make the calls from anywhere and see your appointment book at a glance.

Give your scanner a break . . . two ways to eliminate scanning

Does your front office have a basket over flowing with papers with a sign on it that reads “TO BE SCANNED?” No one in the office wants to touch it because it is one of those tedious tasks that no one wants to do … so it just grows and grows. I know how you feel and many practices I work with say that scanning is one of the biggest pain points they deal with every day.

Let’s look at how we could cut that pile of paper in half … but first let’s look at what’s in that pile and how we can deal with it in the electronic world. Some examples of what ends up in that pile of “TO BE SCANNED” paper are . . .
  • Letters from specialists
  • Treatment plan estimates
  • Insurance EOBs and pre-estimates
  • New patient forms
  • Health history updates
  • Consent forms
  •  Letters to/from patients

We can’t really do much with the paper that comes in through the mail because it is already in a paper form. There is not much we can do other than scan it. What I would recommend is reaching out to the people who are sending you paper and see if you can receive electronic correspondence or (even better) see if they can send the letter as an attachment to an email. NOTE:Make sure you are using a HIPAA-compliant email service when you are sending protected patient information.

There are two in-house ways you can eliminate the scanning without adding any additional cost or third-party service.
  1. “Send to the Dentrix Document Center” is the easiest, most efficient way to get a document into the Document Center without scanning. This can be used for anything you receive in an email, off a website (insurance breakdowns, EOBs, etc.) or as an attachment. You can also send all your treatment plan estimates to the Document Center using this feature and then have the patient sign in the Document Center using an electronic signature device. If your referring doctors are still sending their follow up letter in the mail, you can implement a way for them to send it to you via email and now you can send it to the Document Center without scanning. CLICK HERE for instructions on how this works.
  2. Start using the Dentrix Questionnaire module for all in-house forms, including health history updates, all treatment consent forms, financial arrangement forms and updates to your HIPAA acknowledgement. You can use the Questionnaire Module without adding any expense for electronic services … all you will need is a signature pad. You can print out your consent forms and have them laminated so the patient can read them in a paper form. After that, have the patient sign in the Questionnaire or just pull the form up on your monitor for him or her to read. It is so easy. CLICK HERE to learn how to create a new form.


Give your team a break . . . give your scanner a break and save time. Use this time to do more productive things like fill your schedule and improve your collections.

Checking insurance benefits will suck the life out of you unless you change your system

the day. There needs to be a balance between it being a customer service task and a hand-holding task. The insurance benefits belong to the patient. They do not belong to the practice and we need to put the verbal skills in place to help our patients understand this.

One thing I have been doing with my practices is teaching them to transfer that ownership back to the patient in a way that is beneficial to the patient and not too time-consuming for the practice. The easiest, most efficient way I have found is using the eCentral Insurance Eligibility feature inside of your Dentrix software. Have you seen the “E” all over inside of your Dentrix software and wondered what it does? CLICK HERE to learn how eCentral Insurance Manager works.  Let me share with you some of my tips in using this amazing tool.

What has worked really well for many offices is to print a copy of the electronic benefits for the patient and then send a copy to the patient’s Document Center for your reference. Now, how you hand off the information to the patient makes a big impact on how much you will be babysitting in the future. So here are some of my best tips . . .
  • When you print out the eligibility benefits from eCentral for the patient, I would highlight a few key pieces of information (insurance company phone number, maximum and coverage percentages).
  • Hand the patient the printed copy of his or her benefits and say something like, “I took the liberty of checking on your dental benefits for you and here is what we received from your plan. Notice I have highlighted some of the important things about your plan. One thing I want to point out is that if there is a procedure you need that is not on this print out, then we don’t know how much your insurance company will pay so we estimate zero.”
  • Let patients know if they would like more details about their plan, you highlighted the insurance company’s phone number for them.


Using eCentral Insurance Eligibility not only as a tool for your practice efficiency but also using it as a resource for your patient will help you to strengthen your relationships with your patients and they will trust you more. Trust will help build your practice and grow your referrals.

Find patients with missing email addresses



  • ·        The first way you can search for patients without an email address is with the Dentrix letter merge feature and generate a list of patients. Go to the Office Manager > Letters & Custom Lists > highlight the Patient Report by Filters > Edit. In the lower left corner, there is a dropdown menu for email. Select only without (see the image below). Check mark patients, but I would not filter it with any other options because then you might skip some people. Click Close and click on the button for Open in List Manager. This will give you a list of patient names who do not have email addresses.


  • ·        The second way you can search for patients without an email address is on a daily basis using the Daily Huddle Report. Go to the Office Manager > Analysis > Daily Huddle Report > (see image below). Click on the Selected Patient List > check mark the patients with no email. This will generate a page on the Daily Huddle that will give you a list of patients coming in today. If there is an “x” next to the no email column, then you can ask those patients for their email address.

Communicating with patients using today’s technology and in a way that is more convenient for your patients will increase your confirmations and help increase your patient retention. Do you want to learn more about Patient Retention? CLICK HERE

Recare is the lifeblood of your practice



First, the setup is key. I wrote a blog post on May 23, 2012, called “KISS your Continuing Care Types,” but obviously not everyone read it so I am going to take some of those tips and re-apply them today. Many offices, understandably, try and create a system for 3-month Perio, 4-month Prophy, etc., by setting up new Continuing Care types but trust me . . . IT DOESN’T WORK! Remember that you can only attach one Continuing Care type to the procedure code. To
understand what I am talking about, go to the Office Manager > Maintenance > Practice Setup > Procedure Code Setup, then highlight the D1110 and click edit. You will notice in the middle of the window there is a >> Auto Continuing Care where you can attach one Continuing Care Type to this code. This means you cannot link up a 4-month Prophy and 6-month Prophy to the same code.
Your options are Prophy and Perio or Recare. You can link the Prophy to the D1110 and the D1120 and the Perio to the D4910, or link the Recare to all three.
After you have this setup corrected, when you schedule your patient for a cleaning, it will link up to the appointment correctly. When you set complete, it will update your patient’s due date.

But what if your patient is a 3-month Perio or 4-month Prophy? How do you get it up update the due date correctly? You can update the patient’s frequency on his or her Family File in the Continuing Care window. Once you change the patient’s recare frequency, then your reports will be accurate. When you schedule the patient for his or her next visit, the system will know when he or she is due.


After you get this setup fixed and the patient’s frequency updated on the Family File, then you can feel confident that your Continuing Care Report is accurate. What is the difference between the WebSync and the eSync?

Doctor asks his front desk manager, Tina, “What is that spinning globe thing that runs on my computer at 4 p.m. every day?” Tina replies, “I have no idea, I just abort it when it comes up. It’s so annoying.” The doctor then asks, “Is it something with Dentrix?” and Tina says “Yeah, but not sure what it does.”


Is this a conversation you have had in your practice? Let me clear the air so you can understand what exactly that spinning globe thing is. There are two applications that run on your computers every day, the WebSync and the eSync. They do completely different things, but the one thing they have in common is that they keep many of your eServices running smoothly and up to date. Here are the things you must know about this. . .
  • ·        WebSync sends information out. When you use some of the Dentrix eServices, there is information that is sent out to the Dentrix servers so it can be accessed from certain applications. For example, if you are using Dentrix Mobile, the Websync will send patient information, prescription history, and bits of your appointment book to the Dentrix servers so you can access it from anywhere. The WebSync checks your appointment book to see what patients are scheduled so it can upload that information to the Insurance Eligibility feature, the Kiosk for electronic forms, and to the Communication Manager for appointment reminders using email, text, and postcards.
  • ·        The eSync brings information back in. If you are using the Questionnaire module for electronic forms and patients are filling out forms via a link from your website or iPad, then the eSync brings that electronic form into your Dentrix software so you can attach it to the patient record. The eSync also brings in those appointment confirmations from the eCentral Communication Manager and changes the status of the appointment to confirm.
  • ·        The WebSync runs once a day on one computer. You may want to go around to all your workstations and check the setup in the WebSync Wizard. Click on the DXWeb toolbar > click on the wrench or gear > click on WebSync Wizard and, on the second page in the upper right corner, check “Do not run WebSync automatically.” This will turn it off on this workstation. Then set it to run automatically from one computer (I recommend one of the front office computers that will stay on 24/7).
  • ·        The eSync runs in real time 24/7. When a patient fills out an electronic form or clicks the button to confirm their appointment, the eSync recognizes that right away and sends the information to your Dentrix software immediately.

Both the WebSync and the eSync require for you to keep them updated so you always have the latest features and security updates to make sure your software is running to its fullest potential. If you click on the eSync (big red e) and open the Plug In Manager, there is a tab for Available Updates, this is where you will see any updates that need to be done. The WebSync should download any new updates if it is running each day.


I hope this helps clear up any questions or confusion about the differences between eSync and WebSync. Communications is a key component to all dental practices now days and it is important for you to maintain the integrity of the information.

Imagine if your patient could book a hygiene visit just like making dinner reservations?

What if your lab cases were linked to the patient chart . . . would you be interested?

Thank you for scheduling with our office


One thing I would be asked after scheduling a patient for an appointment on a daily basis was, “Can you email that to me?” My answer always was, “Sure, I will do it right now.” Then I would open up my Microsoft Outlook and manually send the patient an email at his or her request. It was a time-consuming task, but my patients were happy. If we could somehow automate this task, we would have happy patients and happy teams, right?

Business of Dentistry . . . why it's my favorite conference of the year

It’s that time of year. It’s time to get your doctor and your team registered for the Business of Dentistry Conference. As you have heard me talk about before, I have never missed a conference and I am going to give you 5 reasons you and your team should not miss it either. This year's conference is being held Oct 7th - 10th in sunny Florida.

 
  1. You will be repeating the words “I didn’t know Dentrix could do that! I can’t believe how we are under-utilizing our practice management software.” Even if you have been using Dentrix for over 10 years, I can guarantee you will learn things that you didn’t know existed. Since Dentrix G5 opened up the Marketplace, there are many third-party companies that enhance your software in so many ways.   5. Finally . . . have some fun and enjoy spending time with your team! This year’s conference is being held at the amazing Gaylord Palms Resort and Convention Center in sunny Kissimmee, Florida.  Henry Schein always brings the fun to this conference. I can remember bowling parties and dance parties that were off the charts. I can’t wait to see what this year has to offer.

Engage patients with technology


In my March newsletter *, I talked about implementing electronic forms and patient engagement. With dental practices moving towards a digital environment, we have to look at ways to engage our patients in a digital world, create better patient experiences, and connect with them using new technology. There are many ways we can enhance our patient experience even for our older patients. In the most recent Pew Research study * on “Older Adults and Technology Use,” it finds that (for the first time) six out of 10 seniors are using the internet and 77% have a cell phone. If your office is equipped with computers in the treatment rooms, there are some things you can do in your practice right now to step up your level of patient engagement.
  • Forget about handing the patient a clipboard with a paper form when you can sit the patient down in your treatment room, pull the computer monitor right up to the patient, and say, “Here is the information we had documented from last visit. Does this all look accurate?” Patient forms, health history, and consent forms should be a conversation between the clinician and the patient, not a form you scan into the computer.
  • Have personal information about your patient right at your fingertips. Even though I help dental offices go paperless, I do like Route Slips or some kind of communication form for the team. On the Dentrix Route Slip or Patient Visit Form, you can enter personal information (vacations, hobbies, pets, etc.) in the Patient Note box and it will print on these forms. If you have to bury your face in the computer to find information, you will break that relationship with your patient.
  • Set up a way to communicate with your patients, family members, caregivers, referring doctors, and physicians via e-mail or the Internet. You can write language into your HIPAA manual and include it in your HIPAA Privacy Rule regarding how your office communicates electronically with other parties. Put security measures in place so you can take advantage of online communication.
  • Send the patient treatment plan estimate to the Document Center so it can be sent electronically to a parent, caregiver, or to the patient. Many patients now are asking, “Can you just e-mail that to me?”

The future of the dental practice is “information now.” This concept of “information now” does not have to be technology first and patient second. The two can coexist.

Electronic signatures . . . a must have for going paperless


Since I wrote the blog on March 23, I have been receiving a lot of questions about integrating electronic signature devices, how they work in Dentrix, and which one I recommend. The good news is that I can answer all these questions and I am excited that the shift toward going paperless is growing. 


Electronic signature pads can work in several places inside of the Dentrix software from patient forms to clinical notes.
  • Questionnaire Module – If you are looking to be completely paperless, then this module is where all your patient forms (such as new patient forms, consent forms, financial arrangement forms, and HIPAA consent) will be located. You can capture up to three signatures (patient, provider, and witness) on a form.
  • Clinical Notes – After the doctor or clinical team member has finished writing his or her clinical note for the patient, he or she can sign and lock up the note for security purposes.
  • Document Center – If you scan, import, or send a letter to the Dentrix Document Center, you can lock up this document using an electronic signature to prevent any accidental deletion.
  • Treatment Plan consent forms – There is a consent forms section where you can customize your own consent forms for treatment. When you sign a consent form here, it will be attached to a specific case and will copy to the Document Center.
  • Microsoft Word – If you are using Quick Letters or Letter Merge, you can use an electronic signature device inside of MS Word as well.

I recommend using the ePad II signature device. They are super easy to use and they integrate beautifully with the Dentrix software. You can purchase the ePad II directly from Dentrix by calling the regular support number (800-336-8749) and being directed to sales. I have checked the pricing online and going through Dentrix is less expensive.

Once you have received your new ePads, you can install them very easily by following the instructions in the box. Plug them into the USB port and inside your Dentrix software click on the ePad II in the list. You can find this list by opening up the Questionnaire Module, click Edit, Questionnaire Setup and in the upper right corner drop down menu, select your signature device.

Since the ePad II signature device is a USB connection, it is easily moved from one computer workstation to another just like a sensor or IO camera. My recommendation would be to install one ePad for every four treatment rooms and then one for each front office workstation that patients are in contact with.

Thinking of implementing electronic forms? This is a must read



Put yourself in your patients’ shoes and think about how much more convenient it would be if they could click on a link, fill out your forms, and be done with it. Wouldn’t it be even more convenient if the office team could direct an elderly patient’s caregiver or family member to assist in the paperwork? Implementing this type of technology creates a paperless environment and is simple and cost-effective.

When you are ready to go “paperless” and implement electronic forms, there are three things that often get overlooked.
  1. Give your patients options for filling out the forms. My number one option is directing the patient or caregiver to your website. This not only drives traffic to your website so they can see all your services, meet your team, and get directions, but they can fill out the forms from the comfort of their home or work computer. However, there will be circumstances where the patient does not have access to a computer or they forget, so make sure to have plan B available. Plan B is not “give the patient the forms on paper and scan them in.” This is not acceptable. Set up a consult room, check-in station or have a tablet available for the patient to fill out your electronic forms. If the patient does not know how to use a computer, it does not take that long to interview them and fill in the form for them.
  2. Layout your treatment rooms in a way so you have at least one monitor that the patient can view and can be pulled within reading view. Having a monitor within reading distance allows your clinical team to easily review the forms with the patient. Also, this allows you to have your patient read over your consent forms as well.
  3. Don’t forget the electronic signature devices. Since there is no paper, you will need to capture the signature via a signature device, similar to making purchases at a store on a credit card machine. My recommendation is start small with one signature device for every four treatment rooms and one or two at the front desk. Most signature devices are USB so they can be easily moved from room to room similar to a sensor.

Whenever you are implementing a new technology like electronic forms where the patient will be doing the work, make sure your team does a practice run so they can understand the patient experience. The technology needs to be user-friendly. If any of your team members have trouble with the technology, more than likely your patients will too.

Patient reviews and Family messenging . . . Whoo Hoo!



I know, for me, reviews are extremely important when I am choosing a restaurant or nail salon because I want to know other people’s experiences. The same goes for the dental office and that is why eCentral is now offering reviews as part of the new patient post-appointment survey. Patients submitting a favorable review will be prompted to post their review to Facebook, Google+, and Yelp. Then, in the patient review dashboard, you can see which reviews were automatically posted to your website and add or remove reviews based on a more detailed examination of the content. The dashboard also provides an overview of your practice rating and other useful statistics.

One of the questions I would get from practices is, “How can we just send mom one message for all the kids’ appointments?” In the past, I would have to regretfully say it wasn’t an option, but now, thanks to all your requests, the development team has made it a reality. This will definitely eliminate a lot of the confusion with multiple reminders for multiple family members and the entire family can be confirmed with just one reply. Whoo-hoo!

People are using their mobile phones more and more as their only source of communication so Dentrix eCentral has optimized the e-mail reminder to be more mobile-friendly. It is easier to read and interact with the reminder with a mobile device.
